This is a role-planning aid, not an employment agreement. Fill in the actual
responsibilities and work expectations before using it in a job posting.

## Role purpose

Own daily coordination of homeowner warranty requests, from intake through
recorded closeout. Keep homeowners, trades, and builder decision makers informed;
maintain an accurate history; and ensure every open issue has a next action and
follow-up date.

## Define the job

- Reporting line:
- Working hours and any agreed after-hours responsibility:
- Office/remote/on-site requirements:
- Systems and record access:
- Backup during absence:
- Estimated workload and supporting roles:

## Responsibilities

- Capture reports, preserve the original information, and screen for escalation.
- Request specific missing details and follow up.
- Prepare decision briefs with evidence and relevant documents.
- Coordinate authorized work and confirmed appointments.
- Update homeowners by the promised date, including when the answer is pending.
- Record visit findings, homeowner response, unresolved work, and closeout.
- Review overdue actions, pending approvals, and reopened requests weekly.

## Authority and support

| Decision/work | Authorized person | Coordinator may do | Must escalate when |
| --- | --- | --- | --- |
| Coverage position | | | |
| Assessment and technical findings | | | |
| Repair scope and spending | | | |
| Goodwill or exception | | | |
| Alternative trade | | | |
| Urgent report | | | |
| Disputed closeout | | | |

## Interview exercise

Use a fictional incomplete request, prior trade note, and missed appointment.
Ask for a homeowner message, an internal decision brief, and a handover note.

Look for: accurate facts, clear next action, appropriate escalation, named actor,
realistic update commitment, and preserved uncertainty. Do not reward a confident
diagnosis or coverage promise unsupported by the supplied record.

Questions:
1. What would you do first, and what information is missing?
2. How do you record disagreement after the trade reports completion?
3. What do you tell the homeowner when approval is still pending?
4. What does your backup need to handle this request tomorrow?

## First review scorecard

| Measure | Baseline | Review date/result | Context or dependency |
| --- | --- | --- | --- |
| Issues without an owner or next action | | | |
| Overdue actions or missed updates | | | |
| Time waiting on builder decisions | | | |
| Missed or unconfirmed appointments | | | |
| Reopened issues or unconfirmed closeouts | | | |

Review individual cases behind the numbers. Closed volume alone does not measure
quality, and the coordinator does not control every approval or field delay.
